An exciting fixed temp temporary full-time opportunity until 30 September 2024 for a Senior Executive Support Officer to join the Office of the Deputy Director-General unit to provide comprehensive efficient, effective, ethical and confidential executive administrative and business support for a high profile, dynamic and fast paced senior executive (chief) role. The role is the first point of contact for various stakeholders across the organisation, Queensland Health and other external stakeholders.

This is an exciting opportunity to work in a dynamic and supported environment in the Office of the Deputy Director General.

The role is responsible for proactive management and organisation of branch executive's office and ensuring comprehensive administrative support in a manner that is compliant with Queensland Health's administrative policies and standards.

Duties will include, proactively organising and assisting in:

  • Provide comprehensive administrative, clerical and keyboard support to the branch executive in a manner that ensures compliance with Queensland Health's administrative policies.
  • Co-ordinate the response to correspondence, briefs, submissions and ministerial requests within the branch.
  • Proactively organise all aspects of the Executive Director's office including, (but not limited to):
    • Accurate, up to date diary management (ensuring forward planning of regular meetings, accuracy of itineraries and provision of supporting documents for meetings).
    • Arrangement of travel
    • Establishment and maintenance of contact lists and bring up systems
    • Preparation of written information, letters, briefs and correspondence.
    • Assist staff to develop, maintain and implement improvements to internal processes and conformance with business planning, records and financial management practices and requirements
  • Maintain effective working relationships by communicating, consulting and negotiating with stakeholder across all levels.
  • Support staff in the development of strategy responses, briefs, analysis, advice, submissions, presentations, reports and information papers by providing research, analytical and desktop publishing support

Are you right for this role?

  • Demonstrated ability to support the administrative functioning of the office of a senior executive or senior executive group.
  • Advanced skills in a range of systems, including office packages (e.G. Word/Excel) and email systems.
  • High level written communication and interpersonal skills including the ability to liaise with a wide variety of clientele, such as senior executives, managers and members of the public on a range of sensitive issues.
  • Knowledge of or ability to acquire knowledge and commitment to Queensland Health's core values of caring for people, leadership, respect and integrity.
  • Ability to work under minimal direction and to manage competing priorities in order to meet deadlines.
  • Previous support to executive leaders will be highly regarded
  • Previous experience working with eDRMS will be highly regarded
