ABOUT THE COMPANY
Based near vibrant Cronulla in Sydney's south, Professional Beauty Solutions is a rapidly growing, Australian-owned beauty distribution company. Approaching 20 years of operation, we manage the Australian brand representations for a host of global beauty brands, including Dermalux LED, Pollogen, Lynton, Pure Fiji, Youngblood Mineral Cosmetics, Sunescape Tan, Image Skincare, and loads more!.
THE ROLE
The Executive Assistant position involves a lot of variety, hard work, and plenty of laughs. It is a rewarding and an extremely interesting and diverse role, for the right person and has the potential to evolve and grow over time.
We are looking for someone who can think creatively and be a problem solver, you must be able to work autonomously as well as along-side 2 Founders/Directors, and General Manager, our internal team and external brand partners.
The right candidate will have high levels of emotional intelligence, be highly organised and systemised, and yet also adaptable to daily changes.
YOUR KEY DUTIES WILL INCLUDE:
Managing calendars and meeting rooms
Coordinatingand arranging meetings and capturing minutes
Keep directors and direct reports on track of their action lists
Managing email
Manage communication to the directors by screening calls, letters and emails and determine which require priority and bring to attention
Assisting with general HR, recruitment, placing ads, setting up interviews, leave approvals, etc (we also have an external HR company we work closely with)
Booking all travel &
accommodation for directors as well as travel and travel approvals for other team members.
Event Management:
Trade Shows and Conference style events as well as internalteam and social events
Management of filing, archiving, scanning, storage management, and general administration
Collecting and ensuring approval of expenses from directors (both work and personal) and direct reports
Personal ad hoc tasks
Arranging team and client gifts
Establishing and management of new procedures
Involvement in various ongoing Projects
Upkeep of the company car fleet;
insurance and registration renewals, services and repair appointments
ABOUT YOU
Availability to work 5 days in our Head Office
High level of Emotional Intelligence, calm under pressure, providing consistent support to the Executive Team
You will be a right hand to the Executive Team, confidential, gate-keeping and loyal
Excellent skills in Microsoft office and general IT
Proficient in using organisational and communication systems like Teams and Asana
You arepro-active with an ability to use initiative and possess strong communication skills (written and verbal)
Well Presented

Excellent Organizational and Time Management Skills
Excellent written and verbal communication and able to communicate with others in a warm and helpful manner
Ability to develop realistic action plans while being sensitive to time constraints and resource availability
Ability to prioritise, organise and schedule tasks
Strong analytical skills and attention to detail and accuracy is vital
Results driven and demonstrated problem solving skills
